Keep Your Forwarder When You Hire a Purchasing Agent

A purchasing agent can send goods to your own forwarder in China. Understand the receiving details, packaging and service scope to confirm before buying.

You can hire a purchasing agent without changing your existing freight forwarder. UTS can purchase the products you commission and send them to a nominated forwarding warehouse in China, while your own provider handles the agreed sea freight. The particular goods, receiving location and China-side transfer still need confirmation before purchasing starts.

For a dropshipping seller adding a small overseas stockholding or using an existing forwarding arrangement, this separates two needs: help obtaining the right goods, and help moving them internationally. You do not have to buy a full fulfillment package to obtain purchasing support, or start holding stock just to work with UTS.

What your purchasing agent takes on

The purchasing agent handles the supplier side of the request. With UTS, that includes sourcing, supplier communication, purchasing and the agreed quality work. You explain the product and the result you need; UTS carries out that work and brings back the information or proposal needed for your decision. You do not need to learn supplier screening or run the checks yourself.

Start with a product link, picture or brief, the selected variants and quantities, and any requirements that affect what you can sell. A color choice, the contents of a set and the packaging you want included are useful requirements. UTS’s China purchasing service describes supplier follow-up and third-party transfer after consolidation. Tell your purchasing agent at the outset that the destination is your nominated receiving warehouse. This lets the proposed scope cover that handover rather than assume UTS will also provide overseas transport.

A freight forwarder has a different role. DHL’s explanation of freight forwarding describes coordinating cargo transportation. That definition does not establish what your particular provider includes: confirm its own agreed service, including where it receives the goods and where its delivery responsibility ends.

Name the receiving warehouse, not just the overseas destination

Warehouse delivery needs a specific receiving point in China. An overseas city tells the purchasing agent where you ultimately want the goods, but it does not identify the warehouse that will accept them for the next journey. Your freight forwarder should supply the current receiving address and contact for your arrangement.

Pass that information to UTS with any customer or account reference the receiving party requires. If the freight forwarder has existing instructions for accepting your goods, share those instructions too. You are passing on the recipient’s requirements; you are not being asked to design labels, book vehicles or learn a warehouse system. UTS can confirm the commissioned transfer and any necessary coordination with the receiving party.

The useful result of warehouse delivery is confirmation of receipt at the agreed location. Discuss what completion information you will receive and whom it comes from. A dispatch notice says the goods have left a location; receiving confirmation answers whether the next party has accepted them. These are different updates, and the handover arrangement should make the expected result clear.

Warehouse delivery is not a vessel departure or an overseas arrival. The ship illustrates a later transport stage, which belongs to your freight forwarder’s agreed movement. If you need an update about that stage, the forwarding service is the relevant source. A purchasing agent’s China-side completion message should not be read as a promise that stock is already ready for your customers abroad.

Which products and packaging should arrive?

Describe the goods you expect at warehouse delivery, including the approved variant, quantity and complete contents. If an accessory or retail box is part of the purchase, make that part of the request rather than infer it from a styled supplier photograph. Your purchasing agent can clarify what the offer includes and raise a proposed change for your confirmation.

Retail presentation and transport packaging answer different needs. A bar beside two small cartons shows a product and its retail packaging, not an outer shipping arrangement. Tell UTS which presentation must accompany the goods; the team can discuss the packing work required for the transfer. A freight forwarder’s receiving requirements may affect that arrangement, but they do not automatically include a new branded box or other customization.

Warehouse delivery can also be separate from a sample or photography request. You may want the purchased goods to go to your freight forwarder while a sample is sent elsewhere or used for product images in China. If the goods or receiving instructions change, give the updated requirement to the purchasing agent before the transfer is arranged. UTS handles the supplier and quality questions within the commissioned work. You confirm a proposed alternative or revised service scope; you do not have to take over the supplier conversation to resolve it.

Ask for a quote with a clear handover point

Request a quote that ends at the nominated Chinese warehouse if that is the service you need. The purchasing agent’s proposal should make the product purchase, any agreed preparation and China-side warehouse delivery clear. Your freight forwarder’s quote covers its own commissioned onward work. Keeping those scopes explicit helps you understand what each proposal actually delivers without assuming either price covers the whole journey.

Purchasing only does not automatically include ongoing storage, picking and packing individual customer orders, international shipping or custom packaging. Those can be separate service needs. Equally, a freight forwarder’s agreement to move cargo does not establish that it will deliver each retail order to your buyers. Name the outcome you want from each party before authorizing the work.

Timing should use the same boundaries. Ask when the goods are expected to be ready for warehouse delivery and what still needs confirmation. The onward sea-freight schedule is a separate question for the provider handling it. A receiving estimate cannot, on its own, support an arrival promise to your overseas customers.

Send UTS the product reference, variants, quantities and packaging needs, together with the nominated receiving details and your intended onward destination. State that you want to retain your own forwarding service. The purchasing agent can then discuss the China-side work, the warehouse delivery result and a quote for that specific request.
