What Chargeback Evidence Can Your Fulfillment Partner Prepare?

Learn which operational records a fulfillment partner can prepare for chargeback evidence, what remains with the merchant, and how to make a focused request.

If a payment processor asks for evidence about an order your fulfillment partner handled, ask that partner to prepare the operational records it can actually verify and link them to the right order. Those chargeback evidence materials can explain fulfillment events; they cannot replace your own records about the sale, payment, customer communications or the response submitted through your merchant account. The payment provider or card issuer decides the dispute. Useful chargeback evidence is case-specific, so start with the question in the notice rather than assembling a generic packet.

That boundary matters in dropshipping, where the customer’s purchase, supplier order, parcel and payment account may sit in different systems. A focused chargeback evidence request brings the relevant people and fulfillment records together without asking the seller to reconstruct work handled by the operations team.

What is Chargeback Evidence from a Fulfillment Partner?

Chargeback evidence from a fulfillment partner refers to the operational records that the partner can directly verify and provide when a payment dispute arises. These typically include tracking numbers, shipping labels, warehouse scan timestamps, packing photos, delivery confirmation, and any internal notes linked to the specific order ID.

Unlike the seller’s own sales records or customer communications, this evidence focuses only on what happened after the order entered the fulfillment system—when the item was picked, packed, shipped, and delivered. It is not a complete dispute package, but a targeted set of verifiable fulfillment documents that support the seller’s response.

Why This Evidence Matters

In dropshipping and outsourced fulfillment, the seller often does not physically handle the goods. When a chargeback notice arrives, the payment processor expects clear proof of delivery or shipment. Without the fulfillment partner’s records, the seller is left trying to reconstruct events they never controlled, which weakens the case and increases the risk of losing the dispute.

Providing accurate, order-linked fulfillment evidence helps demonstrate that the product was properly shipped and delivered, reducing chargeback losses and protecting the merchant account. It also keeps responsibilities clear: the partner supplies what it can verify, while the seller remains responsible for the overall response submitted to the payment provider.

Separate operational records from merchant evidence

Your fulfillment partner can help confirm what its own operation recorded for an order: for example, whether it was processed, which parcel reference was associated with it, or what shipping or exception information is available. These fulfillment records can support a chargeback evidence response when they address the reason shown in the case. Keep the source and date visible so the chargeback evidence does not blur an internal status with a carrier event.

They do not establish every fact the payment provider may ask about. A logistics record cannot prove that the cardholder authorized the transaction, what your checkout displayed, which refund terms applied, or what the customer was told. Those are merchant-side facts. Keep payment-platform access and the final response with the person responsible for the store’s account.

UTS’s Shop VA service page lists chargeback evidence preparation and describes coordination with fulfillment and logistics teams. It does not publish a fixed document list, response time, fee or outcome guarantee. Ask what can be verified for your particular order; do not assume every carrier or service creates the same fulfillment records.

Match chargeback evidence to the question in the dispute

Start with the reason stated in the notice, not with a folder of unrelated screenshots. The chargeback evidence should connect the disputed claim to records for that exact order. For a “product not received” claim, the useful question is what happened to the specific parcel: was it handed to a carrier, did tracking advance, was a delivery or exception event recorded, and which items were linked to that shipment? A label alone may show preparation without proving that a carrier accepted or delivered the parcel.

A delivery event is still only one part of the picture. It may identify a scan recorded by a carrier, but it does not independently prove payment authorization or answer every customer complaint. Our article about a delivery scan and an unresolved missing-parcel complaint explains why a delivery record and the customer’s report can both need follow-up. Chargeflow’s guide to fulfillment and dispute evidence also distinguishes a shipment label, delivery record and proof of authorization.

Other reasons call for different records. If the notice concerns an item mismatch, a relevant order or fulfillment record may help identify what was processed, but a payment dispute can also depend on the product description and the seller’s communications. A refund complaint may require merchant-side credit details as well as any return or replacement status the operations team can confirm. None of these fulfillment records automatically decides whether the claim is valid.

Chargeback evidence: what label, carrier acceptance, delivery, and return records can and cannot show

Give the operations team a specific, time-bounded request

Send the case reference, exact order reference, reason shown in the notice and the response deadline displayed in your payment account. State the question you need answered—for example, whether the parcel tied to the order has a carrier acceptance event or whether an exception remains open. If the order split into parcels or the delivery address changed, identify the relevant shipment and approved change.

This gives the team enough context to search its fulfillment records and return information tied to the case instead of a general status update. The most useful fulfillment records are the ones linked to the order and the question being asked. Use the private support channel already agreed for your service and share only the order details needed to locate it. The operations team can prepare only the fulfillment records available within the agreed service. Do not send full card numbers or payment credentials to an operations partner.

Ask the team to distinguish a recorded fact from an unresolved point. “Label created,” “accepted by carrier,” “delivery scan recorded,” and “customer confirmed receipt” describe different evidence. If a record is unavailable or does not answer the question, it is better to know that before you assemble the response than to present an inference as proof. A gap in the fulfillment records should stay visible in your explanation.

Five-step process from case notice to merchant response with deadline and responsibility boundaries

Keep the response and customer decision with the merchant

Use the operational material as one part of your chargeback evidence, alongside the transaction and customer-side information requested in your case. A concise explanation should show how each attached record relates to the stated reason. Confirm the processor’s own instructions and deadline in your account; a general article cannot set a deadline that applies to every issuer, payment method or country. Shopify’s direct Help Center page was not readable during this research, so this article does not give Shopify-specific submission steps or policy rules.

Your fulfillment partner can help prepare the operational portion of a chargeback evidence file when that support is within the agreed service. Strong chargeback evidence stays within what each record actually shows. You remain responsible for deciding how to respond through your merchant account, choosing any customer remedy and checking that the final submission accurately represents the record. Neither an organized file nor a delivery scan guarantees that a dispute will be decided in your favor.

If UTS already handles your orders, send Shop VA the case reason, order reference, relevant parcel and the deadline shown in your account, then ask which supporting fulfillment records can be confirmed.
